Location: County Leitrim, Ireland
Partners from Germany, Poland, Spain, Denmark, and Ireland met in person in Leitrim to review progress, align on next steps, and strengthen collaboration across work packages. This gathering followed our January online check-in and focused on three priorities: finalising the WP3 Action Plan App, advancing the WP4 Networking Hub, and agreeing a practical approach to dissemination and sustainability for our resources.
Who joined
Representatives attended from Global Impact Grid (Germany), European E-Learning Institute (Denmark), Momentum (Ireland), National Chamber of Commerce Szczecin (Poland), and the Spanish federation partners. The meeting built on the agreed agenda and actions from January.
What we reviewed: resources to date
We began with a review of all materials produced so far, including translations and multimedia assets. We confirmed what is ready to publish, what needs small fixes, and where user feedback should be folded in before final release. The session ensured we share a common standard for quality, accessibility, and style across languages.
Highlights referenced in the January progress notes included:
- Toolkit translations and access checks.
- Three introductory videos prepared by GIG for walkthrough at the F2F meeting.
WP3: Action Plan App — finalised approach
The group finalised the WP3 plan, with a focus on user testing and technical refinements. Our shared goal is to capture clear evidence from both micro-enterprises and VET educators and use it to shape the final iteration of the app.
Key testing targets (as confirmed previously): 75 micro-enterprises and 30 VET trainers/educators across partners (around 15 micro-enterprises and 6 educators per partner). EUEI’s user-testing survey remains the backbone for collecting consistent feedback and tracking completion status across countries.
We agreed timelines for:
- Closing any remaining technical corrections.
- Integrating user feedback into the final WP3 output.
- Sharing a concise testing report that partners can also use in dissemination.
WP4: Networking Hub — from concept to build
With WP3 nearing completion, we turned our attention to WP4: the Networking Hub. Momentum’s concept—presented online in January—was developed further at this workshop. We set the scope for MVP features, clarified moderation and content flows, and mapped the partner contributions needed for a first public version.
Agreed focuses:
- User pathways: simple onboarding and clear calls-to-action.
- Value on day one: starter resources, events, and peer-to-peer prompts.
- Sustainability: a light governance model and an editorial calendar that partners can maintain beyond the project.
Dissemination: plan, roles, and a practical tracker
We held a thorough discussion on dissemination: what to publish, where, and how often. We confirmed the shared Dissemination Action Plan Tracker, with 40 social media posts distributed across partners to meet targets. We also aligned on newsletter use, website updates (including statistics), and cross-posting through partner channels.
Next steps include:
- EUEI to update the site with revised Newsletters 1–3 and link project social channels.
- Partners to send content to the shared email for scheduling and keep the tracker up to date.

Sustainability plan: keeping resources alive
We agreed guiding principles to keep outputs useful after project close:
- Ownership: named content leads for each resource.
- Light maintenance cycles: quarterly checks for links, data, and accessibility.
- Open assets where possible: to support reuse by educators and SMEs.
- Analytics-led iteration: simple KPIs (reach, downloads, active users) to decide what to improve or retire.
Project management reminders
We noted ongoing management items, including quarterly reports, timesheets, and survey completions, with the next online coordination meeting scheduled for 11 March 2025 at 12:00.
Team bonding
Collaboration also happens around the table. We enjoyed a relaxed lunch in Leitrim town, which gave everyone time to swap practical tips and compare user-testing experiences. In the evening, we shared an excellent meal in Carrick-on-Shannon, rounding off the day with good conversation and a stronger sense of team.
